Punch list items are the individual deficiencies, incomplete tasks, or non-conforming work items recorded during a construction closeout walkthrough.
Each item on a punch list represents one specific thing that needs to be corrected, completed, or documented before the project can be closed out and final payment made.
What makes a good punch list item
A well-written punch list item has four things:
- Location — exactly where the deficiency is (Room 203, north wall, 2 feet from the window)
- Description — what specifically is wrong or incomplete
- Photo — a timestamped, GPS-tagged image of the deficiency
- Assignment — which trade is responsible for the correction
Punch list items without photos are opinions. Punch list items with photos are evidence.

How to manage punch list items efficiently
The two failure modes: items that never get assigned, and items that get assigned but never verified as complete.
The fix for both is a digital punch list where every item has a required photo at creation and a required photo at completion. No photo, no close. This creates accountability without meetings.
