HVAC As-Built Documentation — Existing Conditions Before Work Starts (2026)

Why HVAC contractors need existing conditions documentation

Before any retrofit, replacement, or new installation, you need a record of what's already there. What units are installed, what their condition is, what clearances are available, what's connected where. This documentation protects you if there's a dispute about pre-existing conditions, gives your engineers accurate information to work from, and creates a baseline you can reference when the work is done.

Manifold gives HVAC contractors a structured, GPS-tagged, shareable system for existing conditions documentation that takes the same time as a clipboard survey but produces a professional, shareable record.

What to document before HVAC work starts

Equipment identification

Photograph the nameplate of every unit being replaced or affected. Record model number, serial number, refrigerant type, tonnage, and age. Note visible damage, corrosion, or deficiencies that existed before your work started. This protects you if a client later claims you caused damage to an adjacent unit.

Mechanical room conditions

Document the overall layout, clearances, pipe runs, electrical connections, and access points before you touch anything. Walk the room with Orbit Measure and get a measurable 3D model to share with your engineer or use to spec replacement equipment without going back to site.

Rooftop and access documentation

Photograph equipment placement, roof penetrations, drain pan conditions, curb dimensions, and access hatches. If a curb is damaged or a drain is blocked before your crew gets on the roof, you need that documented.

How Manifold works for HVAC as-built documentation

Every photo taken in Manifold is automatically GPS-tagged and timestamped. Photos are organised by job. Add notes to any photo — "existing unit, pre-replacement condition", "pre-existing corrosion on condenser coil", "clearance to ceiling: 18 inches". Generate a PDF of the pre-work conditions survey and share it with the client or engineer before work starts.

Orbit Measure for mechanical space scanning

Walk any mechanical room with your phone for 60 seconds. Manifold builds a measurable 3D model. Pull any dimension from your desk without going back to site. Works on any iOS or Android phone. Useful for specifying replacement equipment dimensions, duct routing, and retrofit clearances.

Pricing

$16/user/month for the Photo plan. $24/user/month adds Orbit Measure 3D scanning. No seat minimums. Free trial, no credit card required.
