Before any retrofit, replacement, or new installation, you need a record of what's already there. What units are installed, what their condition is, what clearances are available, what's connected where. This documentation protects you if there's a dispute about pre-existing conditions, gives your engineers accurate information to work from, and creates a baseline you can reference when the work is done.

Photograph the nameplate of every unit being replaced or affected. Record model number, serial number, refrigerant type, tonnage, and age. Note visible damage, corrosion, or deficiencies that existed before your work started. This protects you if a client later claims you caused damage to an adjacent unit.
