Construction Handover Documentation: What to Include at Project Closeout

John Dutton

What is construction handover documentation?

Construction handover documentation is the package of records transferred from the contractor to the owner or client at project completion. It documents the as-built state of the work, confirms that outstanding items have been resolved, and gives the owner everything they need to manage, maintain, and eventually modify the completed project.

A professional handover package is the difference between a contractor who closes a job cleanly and one who fields calls about missing information for the next two years.

What a complete handover package includes

Punch list sign-off

A completed punch list with photo evidence for every resolved item. Each deficiency should have a before photo (documenting the issue) and an after photo (documenting the resolution). The sign-off document shows the date each item was closed and who verified it.

As-built records

Documentation of the final built state of the project — dimensions, materials, systems locations, and anything that deviated from the original design. For most residential and light commercial projects, this means at minimum: final room dimensions, location of any structural work, utility locations, and material specifications for key finishes.

3D walkthrough

A 3D model of the completed space is increasingly expected by sophisticated owners, property managers, and engineers. Manifold's Orbit Measure creates a measurable 3D model of any space in 60 seconds from any phone. The owner can view it in a browser, pull measurements, and share it with future contractors or engineers who need to understand the space.

Photo documentation by phase

Organised photos from throughout the project — existing conditions before work started, progress photos through key phases, and final completed photos. This creates a complete project record for the owner's files.

Floor plans (where applicable)

For renovation or construction work that changes room layouts, final dimensioned floor plans. Manifold's Floor Plan Scan generates these automatically on iPhone 12 Pro or newer in under 5 minutes per room.

PDF summary report

A clean, branded PDF that brings the key documentation together: project overview, key photos, as-built measurements, and punch list completion summary. This is the document the owner keeps on file.

How to create a handover package without specialist software

Manifold handles the full handover package from a single app:

  1. Orbit Measure scan of completed spaces — any phone, 60 seconds per room
  2. Floor Plan Scan for dimensioned floor plans — iPhone 12 Pro or newer
  3. GPS photo documentation of completed work organised by project
  4. Punch list completion with required photo evidence for each item
  5. One-tap PDF report generation
  6. Shareable project link the owner accesses in their browser — no account required

Why professional handover generates referrals

Most contractors hand over a key and a verbal summary. The contractors who hand over a 3D model, a photo timeline, a completed punch list, and a PDF report are remembered differently. Owners share these with friends when recommending a contractor. It becomes a tangible demonstration of professionalism that most contractors in your market aren't providing.
